What belongs on the annual meeting agenda?
Under the 2017 model regulations, the annual meeting is held within six months after the end of the financial year. These items usually come up:
- Opening and adoption of the agenda
- Adoption of the minutes of the previous meeting
- The board’s annual report and annual accounts
- Report of the audit committee, if there is no auditor’s statement
- Discharge of the board, after the annual accounts are approved
- Budget and advance contributions for the current year
- Multi-year maintenance plan (MJOP) and the contribution to the reserve fund
- (Re)appointment of the board and the audit committee
- Any other business and closing
Notice and deadlines
Under the 2017 model regulations, the meeting notice goes to all owners in writing or by email at least fifteen days in advance, with the agenda, the meeting documents, the place and the time. Every member entitled to vote may add an item up to seven days before the meeting. A proposal that is not on the agenda may only be discussed if all members entitled to vote agree.
The deadlines and obligations that apply to your VvE are in your own regulations of division. Always check them.
