The law leaves the way meetings are called to the VvE's articles (article 5:112(2)(d) BW). Under the Model Regulations 2017, the notice is sent in writing or by email to the address provided, with a period of at least fifteen days, not counting the day of the notice and the day of the meeting. The agenda, meeting documents, place and time must be included (article 50.2).
Every person entitled to vote may have an item added up to seven days before the meeting. A proposal that is not on the agenda may only be dealt with if all persons entitled to vote agree.
For an amendment of the deed of division, the law itself requires at least fifteen days (article 5:139(2) BW). From 1 January 2027, the notice for an online or hybrid meeting must state how to take part and vote (article 5:127(11) BW). A defective notice can make decisions voidable (article 2:15 BW).
